Rose Family Bakery is a beloved local artisan bakery specializing in handcrafted pastries, custom cakes, and fresh-baked breads. With a growing customer base and increasing demand for custom orders, the bakery needed a modern point-of-sale system to streamline order management, inventory tracking, and customer communications. This project focused on creating an intuitive iPad-based POS experience that helps staff efficiently process orders during busy morning rushes while maintaining the warm, personal touch that defines the bakery's customer service philosophy.

Problem Statement

Bakery staff relied on phone calls, handwritten notes, and disjointed spreadsheets to manage custom and daily orders. This fragmented approach led to lost order details, delayed service during peak morning rushes, and an increased cognitive load on the employees.

Who We Are Designing For

The primary users of this POS system are the bakery's counter staff, individuals who manage high-volume, fast-paced environments. They need a system that reduces cognitive load, minimizes manual errors, and allows them to maintain a warm, conversational rapport with customers without being bogged down by complex software navigation. Secondary users include the bakery managers who track daily inventory and long-term order fulfillment.

User Research

To deeply understand the nuances of managing a bakery, I conducted contextual inquiries and observed staff during their busiest shifts. I documented the specific pain points they encountered when switching between taking payments, logging custom cake details, and confirming delivery times. This primary research helped form the foundational requirements for the new POS system.

I evaluated three leading POS and ordering systems currently used in the food and beverage industry. The goal was to identify market standards and spot opportunities where a specialized bakery system could outshine generic alternatives.

To validate our initial assumptions and understand broader user behaviors, I distributed a survey to 20 participants who frequently visit local bakeries and coffee shops. Reflection

Designing this experience was an incredible journey in understanding the delicate balance between digital efficiency and human warmth. Bakeries are inherently physical, sensory spaces. The challenge wasn't just to make a functional tool, but to craft an interface that felt as inviting and carefully crafted as the pastries themselves.

I learned the importance of iterative testing with actual end-users. The initial assumptions about structured categorizations were quickly proven rigid, leading to the highly flexible, search-first, visually driven approach seen in the final product. It reinforced my belief that great UX is essentially an act of empathy.
